Why Put Websites on Enquiry?

Internet sites selected by SC= IS for cataloguing, in the main are authoritative web sites. When placed in Enquiry beside a range of formats, it encourages students to use the most appropriate & current resources for the task. It allows them to see the Internet as one tool among a range of other relevant formats.  Placing specific websites in the catalogue can save students many hours of fruitless searching.

 

Management of Website Catalogue Records

There are many unique issues = in the management of Internet site catalogue records in automated library syst= ems. For OASIS, the following issues are worth noting when downloading bibliogra= phic records for websites.

Tips & Extra Information

 Separate Orders=

q&= nbsp;      Use a separate disk for web records.

 

Don’t combine them with records of physical resources as this will make for eas= ier management of the download.=

Barcodes

q&= nbsp;      Use a unique barcode sequence such as W00001

 

q&= nbsp;      Overtype the barcode offered with a nu= mber from the new sequence.

q&= nbsp;      At the end of a website download, reset the Barcode System Parameters (B1/C1/<B>arcode) to reflect the next available barcode from the barcode sheet/roll.

§         OASIS software prompts for a Barcode &= amp; Accession Number even though there is no physical resource to which a bar= code can be attached.

§         There is no need to order barcodes for this purpose. They only exist for management purposes.<= /p>

§         Before downloading a new order for web= site records, check in Enquiry/Barcode for the next barcode in the W sequence.=

Accession Numbers

q&= nbsp;      No accession numbers should be allocat= ed. When downloading blank out the accession number field.<= /p>

 

Website Location

q&= nbsp;      In B1/B4 (Location Authority File, set= up a specific location, such as WEB for Website

§         Adding the location is a useful remind= er to users not to look for a physical resource.

§         The WEB location is never selected for stocktake purposes.

Editing Records

q&= nbsp;      After download edit in the location WE= B.

§         Use the – (minus) key to go back= to each record in the download to complete the editing.

GMD

q&= nbsp;      The GMD for website does not have to be added to the Authority File.

§         WE for website is automatically alloca= ted by OASIS as part of the download process.

Resource Loan Category

q&= nbsp;      Edit the copy details of each website = to get the unique resource loan category.

q&= nbsp;      The category should be the equivalent = of Not For Loan.

§         A Resource Loan Category should be cre= ated in B2/D1 Resource. It should state Not For Loan.

eg. X =3D Not For Loan

Review Notes – creating keywords

q&= nbsp;      Select the record required, in Edit mo= de, access <R>eview notes.

q&= nbsp;      Tag significant words using <F3>= to create additional keywords.

 

 

 

§         Only tag those keywords which you feel will be searched for by users in Enquiry.

Checking Website Records

q&= nbsp;      To check that URL’s are still current, run F2 Sample Reports. Select LIBRARY 113 Website Management Rep= ort.

q&= nbsp;      Run this report periodically to check = the websites.

o<= span style=3D'font:7.0pt "Times New Roman"'>     &nbs= p;  If necessary, update the record.<= /o:p>

o<= span style=3D'font:7.0pt "Times New Roman"'>     &nbs= p;  If they no longer exist, the copy information from the obsolete website recorded may be deleted. Use the B4= /P4 Delete Unheld to remove all bibliographic records with no copy information attached. Run the B4/N1 Rebuild.

 

§         The Website Management Report lists the records in date order when they were added. It includes the date they were catalogued by SCIS.

 

 

§         Never delete a record in B1/D1.
